Step 4: How Your Agent Pronounces Numbers, Prices, Phone Numbers, and Emails
The agent reads out what the text says. Writing habits from email sound unusable on the phone. Set pronunciation in the prompt:
| Instead of | Write |
|---|---|
$12.50 | twelve dollars fifty |
+1 415 555 1234 | phone numbers in groups with small pauses: plus one — four one five — five five five — one two three four |
Mon–Fri 8–18h | Monday through Friday, eight in the morning to six in the evening |
14:30 | two thirty in the afternoon |
09/01/2026 | on the first of September |
info@millerdental.com | info at miller dental dot com — spell out unusual parts as well |
Dr. med. dent. | Doctor of Dental Medicine |
approx. 30% | about thirty percent |
St., No., e.g. | Street, number, for example |
As a rule in the prompt:
Speak all numbers, times, amounts, and dates out in words rather than as figures. Break phone numbers into small groups with short pauses. For email addresses, say “at” and “dot” out loud and spell unusual parts. Do not use abbreviations.
One note on the Knowledge Base: facts stored there are read out too. If your price list says $89.00, that is exactly what callers hear. Write amounts and times in Knowledge Base files in spoken form as well — or keep both forms.
